Creating a business partner in Windows Client

You create a new business partner when…

  • you are dealing with a business relation and the relevant person does not exist in the system.

  • you are dealing with an additional business relation to an existing person (e.g. a supplier becomes a customer, or an existing customer is interested in other products of your product range).

You do not create a new business partner, but simply change the form of your business relation when a prospective customer becomes a customer, or a customer becomes an ex-customer.

The field office of a company is not a new person, even if it has an own name and address. In this case, you simply create a new business partner and if required, a new address and telecommunication data to the existing person. If the person does not exist in the system yet, you create a new person with the business partner.

Creating a new business partner with a new person

This is how to create a new business partner with a new person:

  1. Open the main window Business partner Close the search window, if it is opened automatically when opening the main window.

  2. Click the New button.

  3. Run a duplicate check. If the person is not found, click New creation based on new person.

  4. Fill out the fields of the quick entry mask as complete as possible (especially the mandatory fields) and click Save.

  5. If required, enter additional data in the main window and save them by clicking


    If the fields Consult/Responsible, Sales and Key account manager were filled, activities (reminders) are created for the new employees entered, which refer to the new business partner.

  6. If needed, assign other datasets to the business partner.

Creating a new business partner to an existing person

This is how you create a new business partner to an existing person:

  1. Open the main window based on Person.

  2. Open the search by clicking Open search window if it does not open automatically with the main window.

  3. Enter the search criteria for the desired person and click Search.

  4. If the result list is too long, limit it by using the column filter. Mark the desired person and click Apply.

  5. In the context menu to the person (tree), select the function Create and assign/ Business partner.

  6. Enter as much information into the text fields to the contact person as possible (especially the mandatory fields). Match code, Company/Last name, Addition1 /First name and Addition2, as well as Address and Telecommunication data were adopted from the person. Edit these data, if they differ from the person.

  7. Save the new dataset by clicking Save.

  8. If required, edit the Telecommunication data and click Save again.

  9. If the address of the business partner differs from the address of the person, replace the already assigned address with the actual new one.

  10. If needed, assign other datasets to the business partner.

Add a new business partner from the clipboard

In order to create a new business partner within only a few seconds, you can use the data from the clipboard.

How to proceed:

  1. Mark the information to a business partner from an arbitrary source (e.g. website, imprint, documents)

  2. Copy and paste this image into the clipboard (buttons: CTRL+C )

  3. Then, paste the data into the search or Quick entry mask (button:

    Pasting from Clipboard). The button is active when data are buffered in the clipboard.

The application automatically identifies the correct information to the corresponding fields are adopts the provided data. You can then drag&drop unidentified into the desired fields.

Hint

You can get a real high hit rate during automatic filling when you copy the data from an internet imprint site into the clipboard.
