Creating a quote item

Creation of quote items

You can only reach the main window Quote items through the quote.

  1. Create a new quote or open an existing one.

  2. Open the main window Quote Items. To do that, double click on the branch Quote items, located underneath the quote. The main window Quote items opens in the list view.

The positioning of the quote items, subtotal and texts in the list view are later adopted to the quote document.

  1. To create the new item at the desired spot in the list,

    • click

      and the new item is added to the end of the list.

    • click

      New or

      and the new item is inserted above the selected row

  2. Step 1: In the dialog window select the position type though the lookup field and click next.

  3. Step 2: Select the product group and the product no. from the dialog window and click Done. The quote item is created.

  4. If required, edit Amount, Unit price, Rebate and Total. Supplementary notes or information to the offered item can be entered in the Item text. You can transform a normal item into an alternative item by checking the field Alternative Item or by clicking


    Alternative/normal item.

  5. To save the new quote item, click


    Save (in the button bar above the main window).

New creations and changes to the quote items in the list view are not automatically saved (like principally in the list view). When you edit a quote item, all other items to that quote are also locked, so that no other user may edit it. Once clicking Save in the upper sector of the main window, all quote items are released again. If you only wish to save the current level, you should use the button Save in the toolbar above the main window.

Directly through the keyboard you can enter quote items.

New quote position

  • ENTER ↵ Focus switches to the upcoming line!

  • In the last position line, ENTER ↵ automatically creates a new empty line just as it can be already done with

    today.

Focus on first field

Once a new empty line is entered (like for example by ENTER ↵ on the last position) you differentiate two cases:

  1. With position wizard:

    1. At first, the wizard opens.

    2. Once it is completed, the focus changes according to the system setting 'Focused column with new positions'.

  2. Without wizard:

    1. The focus changes right with the column according to system setting 'Focused column with new positions'.

Descriptions of the sub products as quote items

For the entity 'Products', you can create parts list products for a main product using the entity 'Subproduct assignment' in the subarea. A subproduct assignment consists of a main product and a subproduct. Furthermore, a description text can be stored in the subproduct assignment, which explains the subproduct for the main product.
If you now create a quote and insert a quote item with a product that has subproduct assignments, the subproducts used there are also automatically created as quote items in the quote.
When the subproducts are transferred to the quote as quote items, the description text for the subproduct assignment is also transferred to the description text for the quote item.

It is a client-side logic, so that the transfer of subproducts in quote items cannot be used for the Web Client in this form.

The subproducts are not available in the standard system, they are only available in the CRM Inhouse.

Edit quote items

Once you have made a basic framework with normal positions you can insert the text items or subtotals of product groups, in order to structure the new document and make it well- arranged.

Over the switch-menu on the mask you can control and manage the quote items

Classification high

Mark the new created text item or subtotal and click the Classification high icon to assign the 1. classification level.

OR

Mark the already created text items or subtotals and click the Classification high icon to shift the item up by one classification level.

For normal positions it is not allowed to assign classification levels.

Classification equal

Mark a new created text item or subtotal within an existing level and click the Classification equal icon to adapt the item to the existing classification level.

Classification low

Mark an already created text item or subtotal and click the Classification low icon to shift the item down by one classification level.

Classification standard

Mark an already created text item or subtotal and click the Classification low icon to remove the classification level of this item.

All levels classification standard

Click the Classification low icon to remove the classification level of all items.

Once you have removed all classification levels, you need to structure the complete composition of quote items anew.

Insert item at current position

Inserts a quote item above the marked position.

Insert item to the end

Inserts a quote item to the end of the list.

Alternative/normal item

By clicking the Alternative/normal position icon, the status of the current quote item switches.

This action corresponds to switching through the checkbox in the column alternative position.

Hide/activate in quote

By clicking the Hide /activate in quote icon, the status of the current quote item switches.

This action corresponds to switching through the checkbox in the column Hide in quote .

Save all quote items

Saves all quote items.

We recommend to save each change by clicking on Save button. If you have changed several datasets in list view and you now want to change to the quote resp. want to exit the mask Quote items, you are asked to save your changes.

One position up

Shifts the current position up by one position.

One position down

Shifts the current position down by one position.

Quote item characteristics

Every quote position has a specific type and status. For detailed listing of offered products you principally use the 'normal' positions. In the quote, the prices stored for the products can then be summarized in groups with quote items subtotal. You might enter much more products into your quote compared to what will be printed out in your quote document. In that case mark a quote item Hide in quote. If required you can 're-activate' this item by one click.

The characteristic Alternative item is activated when for example you want to offer several products with minimally differing characteristics (e.g. color) and with the same price. In that case, a normal item will not increase the quote value, but only function as an alternative for another and already calculated item.

If you want to enter additional information to a normal position, for which the product description is not entered, you can fill in the field Item text. A quote item of the type Text item contains only text in the field Item text (in detail view this is memo field).

When creating quote items there are the following types by default:

  • Normal item

  • Text item

  • Subtotal

  • Pagination in Word

Normal items (N)

Normal items are items with stored products. If a normal item is entered into a quote, the data of the product (price, product description) are adopted to the quote.

For normal items classification levels cannot be assigned.

Text items (T)

Text items are quote items, which expand the quote only by additional and freely definable texts. That way you can enter headlines for product groups for example in order to give the quote document a better structure.

For text items classification levels can be assigned.

Subtotal (Z)

The quote item Subtotal sums up the value of the normal items within one classification level.

For subtotals classification levels can be assigned.

Pagination in Word (S)

The quote item Pagination in Word inserts a page break in the quote document.
